The Role
This highly regarded London law firm is looking to recruit an experienced Float Executive Assistant to provide high-level administrative and organisational support across its Property and Litigation teams.
This is a varied, fast-paced role suited to an adaptable EA who enjoys supporting different fee earners, managing competing priorities and stepping in where support is needed most. You will play a key role in ensuring matters run smoothly, providing consistent, high-quality assistance across the firm.
Key Responsibilities
* Prepare, organise and electronically file court forms and legal documents, including use of CE-File
* Manage diaries, schedule court hearings, meetings and appointments, and monitor key deadlines
* Liaise confidently with courts, counsel, agents and other third parties
* Provide audio and copy typing support (attendance notes, correspondence and legal documents)
* Assist with document bundling alongside paralegals and reprographics
* Order Land Registry documents as required
* Support billing and payments, including processing third-party and vendor invoices
* Manage telephone communications, take accurate messages and redirect calls appropriately
* Use DocuSign for document execution
* Maintain accurate electronic filing systems and ensure documents are stored correctly
* Provide professional, flexible support across teams as required in a float capacity
Requirements
* A minimum of 3 years' experience as an Executive Assistant within Property and/or Litigation
* Strong understanding of court procedures and legal documentation
* Experience using electronic filing systems, including CE-File
* Excellent typing skills (minimum 50 wpm) with a high level of accuracy
* Proficiency in Microsoft Office (Word, Excel, Outlook)
* Strong organisational skills with the ability to prioritise effectively
* Clear, confident communication skills
* A high level of discretion, professionalism and attention to detail
* A proactive, flexible and reliable approach, with the ability to adapt to different teams and workloads
